Unique document management program gives accurate word counts for writing press releases that fit within character limits.

This page will show you how COUNT MY TEXT! can help you write press release (often called PRs) headline, summary and body copy that fits within character limits. While many press release sites specify character limits and may even count your text as you enter it, you can get confused, mis-format and encounter display problems if your text is not properly prepared.

Knowing WHAT to do for composing a good press release is one step, doing it correctly is equally important! This is where COUNT MY TEXT! can help!

Components of Press Releases:

Press Releases on-line always have three components:

  1. Headline

  2. Summary

  3. Body Copy

The Headline and COUNT MY TEXT!

Document management of a Press Release means having a good headline that not only makes sense to a human, but also fits the requirements of the press release site. They depend on a good headline to introduce a PR. The headline, like the title of a Web page, can be keyword rich - up to a point. There is a character limit imposed by Press Release site. Some sites indicate the character limit, others do not.

If a site does not indicate the character limit, you have only one option. Write the headline you would prefer, and then preview the PR. If the headline is truncated, copy it and paste it into COUNT MY TEXT! This will reveal the limit and you can edit the headline in COUNT MY TEXT! until it is the right size and optimized. Then, copy the headline from COUNT MY TEXT! and paste it into the site's input text box for the headline. This is the easiest way of document management in this situation.

Note: Press Release sites often only post the headline of a PR in a listing of many headlines with the option to click to read the body copy. The headline should be a "teaser", and excite curiosity in the reader so he or she will go on to read the copy. This can be challenging if you are also trying to incorporate a keyword or keyphrase.

While you can write a headline directly into a Press Release site input text box, it is safer to compose the headline in a word processor, spell and grammar check it, the copy and paste it into COUNT MY TEXT! and count and optimize it and THEN copy and paste it into the classifieds or pay per click site. This can save you making a costly mistake!

COUNT MY TEXT! is ideal for document management in this situation because it optimizes text and removes extra spaces between words. It helps you make maximum use of the number of characters allowed.

Note: COUNT MY TEXT! is not a word processor. It does not contain a spell or grammar checker. It is a character and word counter and optimizer. It provides character information and helps remove mistakes that a word processor may miss. As such it can be a valuable tool for document management and other text formatting needs.

The Summary and COUNT MY TEXT!

Press Release sites allow the option of including a summary of the content of the PR. This is usually short, possibly 150 characters, and acts as a secondary "teaser" for the reader. Sometimes, the summary and headline are listed, with the option to click and read the full body copy. The Summary character limits may or may not be revealed, and the input text box may or may not count your characters for you. Spaces always count, and in the case of a PR, so do line feeds. Generally, however, the summary is a single paragraph, so the line feed should not be a problem.

If a site does not indicate the character or word count limit, you have only one option. Write the summary you would prefer into the box, and then preview the PR. If the summary is truncated, copy it and paste it into COUNT MY TEXT! This will reveal the limit and you can edit the summary in COUNT MY TEXT! until it is the right size and optimized. Then, copy the this text from COUNT MY TEXT! and paste it into the Press Release site's input text box for the summary.

Note: There is a psychology to writing a good summary. Less is more. The summary should instill curiosity in the reader, enough that he or she will follow through and click on a link into your press release body copy. If possible, it should also contain keywords or keyphrases.

While you can write a summary directly into a Press Release site input text box, it is safer to compose the copy in a word processor, spell and grammar check it, the copy and paste it into COUNT MY TEXT! and count and optimize it and THEN copy and paste it into the classifieds or pay per click site. This can save you making a costly mistake!

COUNT MY TEXT!'s OPTIMIZE feature will strip out redundant spaces and remove trailing line feeds from the copied text. A word processor may sometimes include a trailing line feed, which is not needed in a Press Release summary paragraph -- it just wastes space.

COUNT MY TEXT! is ideal for this situation because it optimizes text and removes extra spaces between words. It helps you make maximum use of the number of characters allowed. It also counts actual words, for those Press Release sites that use a word count in place of a character count.

Note: COUNT MY TEXT! is not a word processor. It does not contain a spell or grammar checker. It is a character and word counter and optimizer. It provides character information and helps remove mistakes that a word processor may miss. As such it can be a valuable tool for document management and other text formatting needs.

The Body Copy and COUNT MY TEXT!

Press Release sites offer some space for the actual body copy. Different sites allow different size body copy (number of characters). Some count text in terms of actual characters, others count the number of words. Some will provide a character or word counter with the input text box, others will not. Line feeds and indents are allowed, but indents are always counted in terms of spaces, not TAB codes. All are included in the character count.

COUNT MY TEXT! allows up to 10,000 character input, so you have more than enough space for your body copy, since most Press release sites prefer the body copy to be 5,000 characters or less.

COUNT MY TEXT! will strip out leading spaces when you optimize, so if you want them, you should optimize your copy and then put in the spaces for indents and re-count.

COUNT MY TEXT! will leave your line feeds alone, thus preserving your paragraphs.

If a site does not indicate the character or word count limit, you have only one option. Write the body copy you would prefer into the box, and then preview the PR. If the body copy is truncated, copy it and paste it into COUNT MY TEXT! This will reveal the limit and you can edit the body copy in COUNT MY TEXT! until it is the right size and optimized. Then, copy the this text from COUNT MY TEXT! and paste it into the Press Release site's input text box for the body copy.

Note: There is a psychology to writing good PR copy. The body copy should be informative first, then instill curiosity in the reader, enough that he or she will follow through and click on a link into your web site. If possible, it should also contain keywords or keyphrases. Most Press Release sites have agreements with search engines, so your PR will appear there and add to your SEO (Search Engine Optimization).

While you can write body copy directly into a Press Release site input text box, it is safer to compose the copy in a word processor, spell and grammar check it, the copy and paste it into COUNT MY TEXT! and count and optimize it and THEN copy and paste it into the Press Release site.

COUNT MY TEXT!'s OPTIMIZE feature will strip out redundant spaces and remove trailing line feeds from the copied text. A word processor may sometimes include a trailing line feed, which is not needed in a Press Release summary paragraph -- it just wastes space.

Tip: The last line of a Press Release is usually three "pound signs" - ### to indicate the end of the copy. If you don't include it in your copy, the Press Release site may insert it automatically. There are three characters, plus a line feed seperator from the body copy, which adds four (4) characters to your count. If you are up to the limit with your text, check to be sure you have included these marks and count accordingly.

COUNT MY TEXT! is ideal for this situation because it optimizes text and removes extra spaces between words. It helps you make maximum use of the number of characters allowed. It also counts actual words, for those Press Release sites that use a word count in place of a character count. It will preserve your line feeds yet count them as well, just as the Press Release site does.

Note: COUNT MY TEXT! is not a word processor. It does not contain a spell or grammar checker. It is a character and word counter and optimizer. It provides character information and helps remove mistakes that a word processor may miss. As such it can be a valuable tool for document management and other text formatting needs.
